Mutual Understanding

As opposed to reading through a stream of countless emails and spending hours on end making sure everyone is on the same page, meetings give a targeted number of individuals the opportunity to talk directly with each other. By meeting directly others – whether these are clients of the company or fellow employees – any issues in communications can be quickly rectified, allowing the project to move on at a more efficient rate.  Furthermore, face to face communication reduces the likelihood of misinterpreted information and consequently, improves overall efficiency and performance.

Generating Ideas

In the instance of a challenging project where a solution is not readily available, individuals may need to brainstorm in order to generate new and innovative concepts and ideas. Rather than the stop-start procedure of emailing or unproductive and unnecessary phone calls, a meeting may be beneficial as it allows attendants to generate and develop ideas more efficiently. Similarly, with the introduction of new individuals who may not have previously been working on the project, fresh ideas are more likely to be suggested which will, in turn, be a benefit to the project or business.

Training

When taking on new members of staff, training may be required in order to ensure that employees are sufficiently educated in all aspects of their job. In this instance, especially if more than one member of staff requires training, a meeting may be beneficial to ensure that all new employees receive the same information and any questions about any aspects of their training can be efficiently addressed. Another application of using meetings for training in in the instance of new software or any developments that employees should be made aware of. For this form of training, it is important that all employees receive the same information and that any questions they may have regarding required changes to their performance are addressed.

 

Motivating Staff

It has been proven by a number of studies that, when employees are taken out of their mundane, day to day office environment, they become more focused on the task they are working on. As you would expect, a more motivated and driven work force are more likely to get better results. Therefore, with this research in mind, why not make the most of a business meeting and hire out an external conference centre in Peterborough, Cambridge or at a location central to your attendants and maximise the potential of your conference?
